Acknowledgement

1.1. Upon enrolment, The English Academics assumes that the customer has read, understood and agreed to the company’s policies. (“We” and “us” hereafter refers to The English Academics) These policies apply to all students. This is to ensure the smooth running of our administration and teaching quality.

Payment

Assessment & Trial Fee
2.1. Classes are non-transferable and fees paid are non-refundable*. If the payment is settled after the deadline, we will offer other available timings.​*In the event that the class has reached its maximum capacity, we can arrange a refund. Refunds are processed by cheques only. Cheques must be picked up at the centre. We do not provide postage services.
2.2. Fees for the next month must be settled on or before the last class of the month to secure your child’s place. E.g. If the child’s last class in August is on 29th August (Wednesday), September fees must be settled on or before this day.​

2.3. Full fees for the month must be settled before commencement of all classes. We reserve the right to deny the student access to class if the full fees have not been settled and the class will be forfeited. The student will still not be allowed to join the class until the specified amount is settled.
2.4. All places are given on a confirmation-by-payment policy. We do not accept confirmation of places by any other means. If no payment is received by the due date, it will be assumed the place has been given up. We reserve the right to release the place without prior notice. We are not responsible for payment reminders.
2.5. All places, including make-up classes, are given on a first-come-first-served basis.
2.6. We will only acknowledge the payment with proof of receipt and it must be given by the due date. Any receipts sent after the due date will not be accepted irrespective of the transaction time. We will not acknowledge the payment if no receipt is given.

Sick Leave

In the event of illness
3.1. If you takes a sick leave, a doctor’s note specifying the date of the class missed must be presented in order to reschedule the class. We reserve the right to deny make-up classes if a doctor’s note is not presented.

Cancellation & Changes

Class cancellation and correction
4.1. We must be notified of any class changes or cancellations at least 24 hours before the scheduled class. The class will be considered as taken for no shows or if late notification is given. No make-up classes will be arranged.

4.2. We will not make up for any late arrivals to classes.
4.3. We reserve the right to not run any classes if the minimum requirement is not met.
4.4. With the exception of private class, your will only work on materials that are provided by us. Any special requirements (e.g. homework, research assignments) will be considered as a private class and shall be charged at the private rate of HKD 1200/hour.
4.5. For private class arrangements, the customer is responsible for notifying us at least 48 hours before the scheduled time if there are any specific requirements. We reserve the right to deny any late requests.

4.6. Teachers are assigned to classes at the discretion of The English Academics. This is subject to course content and teacher availability. Any specific requests for teachers outside of the offered time slots will be considered as a private class and will be charged at a private rate. With the exception of private classes, we reserve the right to assign a suitable or a substitute teacher to the class without prior notice.
4.7. We reserve the right to not disclose the number of students in each class. The maximum for all group classes is 4.​
4.8. For child protection purposes, cameras are installed in classrooms. All recordings will be kept confidential.

Make-up Arrangment

Class changes and correction
5.1. All classes that have been paid for must be cleared within six weeks from the date of the first class. Otherwise, the classes will be forfeited. All missed classes must be made up by the deadline and any missed classes that are not made up by the due date will be charged.
5.2. Make-up classes cannot be used in lieu of payment for the following months' classes.
5.3. We are not responsible for make-up class reminders. Once the time slots are given, it is up to the customer to confirm the time slots.
5.4. Make-up classes will only be arranged if there is a minimum of two students in the class.
5.5.  With the exception of sick leaves, each student is entitled to one request for change of class every month. Any requests thereafter for any reasons will be charged at HKD 150 per change for administrative purposes. No time slots will be offered until the administrative fee has been settled. The administrative fee will only be waived if the student provides a doctor’s note that is issued within 48 hours from the date of the missed class.
5.6. If the student misses a class for any reasons, he/she will join another regular class as a make-up lesson based on our availability. We will try to offer available and suitable make-up time slots. However, we cannot guarantee that topics in the make-up class will be suitable for the student and we cannot change the class content to suit make-up classes. If the lesson missed was a writing class, the make-up class could be grammar and vice versa. We strongly recommend that students keep the same time slots and that they do not take unnecessary leaves to avoid working on repeated topics.
5.7. Due to limited staff and class size limitations, all class time slots offered are final. Any requested make-up class time slots other than the offered times slots would be a private class time slot, and will be charged accordingly at HKD 1200/ hour.​

Online Classes

Standard policies applied to online classes
6.1. The same policies apply to online classes. For make-up arrangements, we may offer centre make-up time slots if we do not have alternative online slots available.
6.2. The student or parent is responsible for reading our Zoom instructions before class starts. We cannot stop the class to help individuals with technical problems.  We are not responsible for any internet connection and technological issues that arise before or during the class. We will provide notes that the students have missed. No make-up classes will be arranged.​
6.3. The student is responsible for saving his/her own work and remember it has been saved. We will not have a copy of the work.​
6.4. Students must take online classes on a computer, not a tablet or a Chromebook. We do not take any responsibility for issues that arise from not following this instruction.​

Holiday & Closures

Operating times and potential adjustments
7.1. We are closed on Mondays and Public Holidays.
7.2. If typhoon signal no.8 or above or black rainstorm signal is hoisted 2 hours before the class starts, the class will be switched to online (online classes will continue as scheduled).

Integrity

8.1. Approaching our teachers for private contact numbers or for private classes is strictly forbidden. We reserve the right to take appropriate actions.
